What is Docunym?

Docunym is an affordable enterprise document management and workflow application that perfects the processing and management of paper documents, digital documents and other file types throughout your department or enterprise.

Docunym can be implemented in one of two ways: Docunym On-Demand which is a SaaS (Software as a Service) offering and Docunym On-Premise which is an installed offering, but both have similar functionality and features for the user.

Docunym On-Demand is a hosted (Cloud) offering launched within minutes with no need for IT support or maintenance.

Docunym On-Premise is installed and accessed from a network server/appliance inside your organization’s firewall.


Who should consider Docunym On-Demand or Docunym On-Premise?

Should I use Docunym On-Demand or Docunym On-Premise?

While many organizations are moving towards the On-Demand option, many reasons also exist to select Docunym On-Premise model.

Docunym On-Premise users:
  • Purchase a network appliance from SBS with the software preconfigured
  • Required to provide file storage and backup equipment
  • Can support as many images as your servers can store
Depending on the number of images you want to store and your current infrastructure, it may be financially advantageous to self-host.

If you do not have the needed IT infrastructure, IT support, or if you have a limited number of end-users, Docunym On-Demand is the more cost-effective approach.

Docunym On-Demand users:
  • Have no expensive hardware to manage
  • Have no complicated software to install (it is all running on our database, you will simply access your documents through a secure internet connection)
  • Access any document, anywhere, anytime through an authorized secure internet connection (from home, on the road, in the office etc.)
  • Disaster recovery on demand - with your files being stored in a data center designed to withstand an F5 tornado you can stay in business no matter what happens to your actual office
  • Get your data back when you need to (at the end of your contract you will receive all of your images and index information back)
  • Most of all: NO upfront capital investment in computer hardware - just a small monthly payment, about the same as a business cell phone plan!

Will Docunym On-Demand & Docunym On-Premise work with my hardware/software?

Docunym is designed for Internet Explorer 7 & 8 (IE8 is recommended). Docunym is also compatible with Firefox for PC and Mac.

Docunym comes with a scanning application that runs directly from Internet Explorer for web based scanning. We also provide a Microsoft Word and Excel plug-in for easy access to Word and Excel files that are stored in the system.

Docunym has a software integrator program that will image enable your existing applications without the need for custom programming.

Docunym Mobile for the iPhone is here! Search and retrieve your documents on the go. Also you can use the integrated camera to take photos of your documents and upload them directly to Docunym. Docunym Mobile is extremely useful for capturing expense receipts while on the road or for automatically storing business cards you receive.

Are my documents secure utilizing Docunym On-Demand?

Docunym On-Demand is Hosted/ASP software often known as a software-as-a-service (SaaS). This means that the actual software, database, and content (your files/documents etc.) are stored outside of your firewall, in this case in the Amazon Cloud.

Please keep in mind that the Amazon Cloud is a world-class, 4-tiered data center with redundant backup, connectivity and security. Today, this data center hosts billions of images and has the highest security rating of SAS-70 Level 2 certified.

The security does not stop there. All connections to Docunym On-Demand travel over a secure network connection using HTTPS. At SBS, we add an additional layer of security by also encrypting every document and data file you store within Docunym On-Demand. This means nobody, not even security administrators within the Amazon Cloud, can touch your software, database, documents, images or files at rest or in transit.


How much uptime can I expect with Docunym On-Demand?

Our target is 99.99% uptime. SBS contracts with Amazon to provide Internet (Cloud) connectivity, physical hosting, and computer hardware and software that is reliable, redundant, and meet or exceed prevailing standards for online application vendors.


Who owns the data if I'm using Docunym On-Demand?

Although we are responsible for maintaining and backing up your database on the Amazon Cloud, the data and documents belong entirely to you. You can request that a backup copy be shipped to you at any time. Your service agreement will describe your ownership of your data and our responsibility to maintain its confidentiality.


How often is Docunym updated?

Docunym On-Demand and Docunym On-Premise have quarterly scheduled releases. All updates are announced in advance and are planned to cause zero downtime during regular business hours.


What systems do Docunym On-Demand and Docunym On-Premise integrate with?

Docunym has double click integration allowing users to tie-in to existing systems without the need for professional services. Because of this integration, Docunym instantly image enables your existing applications. In addition, full integration with MS Office allow for accessing and saving of MS files without ever leaving the office suite.


How will my files be stored in the Docunym system?

Users can use any file format within Docunym that is allowed by your administrator. All files are loaded and stored in the system in their native formats preventing compatibility issues with their use later on.


What is your training process?

Start-up training is included to all Docunym On-Demand and Docunym On-Premise licensed companies. There is also an electronic training manual and quick start guide provided to all clients.

Additional training is available for a fee that is addressed in your service agreement. If you require changes or additions to the manual then an hourly professional services fee will apply.


What are the hours of operation for Technical Support?

Technical Support can be accessed from 9:00AM - 5:00PM EST via our toll free number 866-328-4936 or by sending an email to support@docunym.com. Clients will be assigned a dedicated Customer Service Representative for superior service in answering your questions and fulfilling your requests.


Are your licenses considered a named user license or a concurrent license?

All licenses are considered concurrent licenses and there is no minimum or maximum number of employees per concurrent license. It is up to discretion of the company purchasing the licenses.


What does Docunym On-Demand and Docunym On-Premise cost?

Pricing varies based on your number of licenses required, data volume, the length of your agreement, your training needs, and requirements for other professional services.
